How do I get to the scheduling app, Acuity?

 

How do I get the studio team to help me with booking appointments, answering actors’ payment questions, updating appointment length, etc.?

  • Know that once an actor is scheduled, they will get a confirmation email that contains payment links, balance due, Zoom link, instructions to send sides, etc.

 

What’s the studio coaching page link?

 

How do I get actors to go there and make a scheduling request?

  • Give them the link or tell them to go to our website’s Coaching page and make a Coaching Request
  • Heads up, the Coaching link is also in the signature of your studio email address. You can tell actors to use the link in signature.
  • Advanced tip: you can also insert a “Saved Response” in Missive
    • In your email draft, hit the small symbol that looks like a pen with a plus sign
    • Click on “All Coaches: Coaching Page”
    • Hit “Insert Response”
    • The link will be inserted wherever your cursor is

QUICK ZOOM REMINDERS

  • Pin the actor to record them.
  • Have the actor pin you as the reader.
  • To separate takes into different files, hit the STOP button after a take ends. Hit record when you are ready to start a new take.
  • After the meeting ends, Zoom recordings are often automatically uploaded to your computer in your Documents folder >> Zoom
  • Communicate to your actor how you will send them their takes so that they know what to keep an eye out for
    • Dropbox Transfer is a good way to get the actor their takes, and is Heidi’s method of choice
    • WeTransfer also works

How do I get to the studio group email app, Missive?

 

How do I turn notifications on in the Missive app?

  • The easiest way to get notified about coaching requests and appointments is to download the desktop and mobile apps and turn notifications on.
    • Go to the Menu (down arrow near your name/icon)
    • Preferences
    • Notifications
    • Use the checkboxes under “Notify” to choose your notifications
      • Recommended: Emails, @mentions, Comments, Assignments

 

How do I tag another coach or studio team member in Missive?

  • Type the @ sign, then their name
  • To tag Heidi, make sure you select “Heidi” instead of “Heidi Marshall Studio” (which tags everyone)
  • The failproof way to make sure your chat comments reach someone is to tag them in it

 

I don’t know if I’ll check Missive enough. How do I get notifications at my personal email address for messages in Missive?

  • If you want to get an email notification somewhere else (like your personal email) whenever you get a studio email or @ tag from one of us, then follow these steps:
    • Go to the Menu (down arrow near your name/icon)
    • Preferences
    • Notifications
      • Enable “Email notifications when offline,” then select “Once every 15 min” from the dropdown menu.
      • Then, go to Menu >> Profile >> Login email. Change the login email to your personal email of choice. This will send email notifications to that address. The login email doesn’t affect your actual studio address, it’s just how you sign in.
    • If you want to enable notifications on the desktop or mobile app, download the apps you want. Then use the checkboxes under “Notify” to choose your desktop/mobile notifications.

PAYROLL QUESTIONS

When do coaches get paid?

  • Coaches get paid monthly according to the appointments booked in Acuity
  • Payment is made by direct deposit on the 5th of the month (or next business day)
  • Pay period covers the 1st through the end of the previous month
